This Privacy Policy explains what information HaulFlow collects, why we collect it, how we use and protect it, and the choices you have. It applies to the HaulFlow website, web application, and mobile apps (together, the "Service").
HaulFlow is fleet and load-management software for trucking companies and owner-operators. The Service is operated by GO Farms & Cattle LLC ("HaulFlow," "we," "us," or "our"). By using the Service, you agree to the practices described here.
1. Information We Collect
Information you provide
- Account & company details: your name, business name, email address, phone number, and login credentials.
- Driver records you enter: driver names, phone numbers, email addresses, CDL numbers, license and medical-card expiration dates, and documents you upload such as CDL files and medical cards.
- Customer and shipper details you add to manage loads, including contact and address information.
- Load and dispatch data: pickup and delivery locations, status, and related notes you create in the Service.
- Payment information: billing is processed by Stripe. We do not store your full card number on our systems.
- Support communications: messages you send us and information you include in them.
Information collected automatically
- Usage and device data: IP address, browser or device type, app version, pages or screens viewed, and timestamps, used to operate and secure the Service.
- Cookies and similar technologies used to keep you signed in and remember preferences.
Location information (mobile app)
With the driver's permission, the HaulFlow mobile app collects the driver's precise device location, including while the app runs in the background or is closed. Background location is essential to the core purpose of the app and is used to:
- Calculate IFTA mileage — recording miles driven in each state so fuel and mileage taxes can be reported accurately;
- Verify arrivals and departures — using geofences to log timestamped entry and exit at shippers and receivers, which helps resolve detention-pay disputes; and
- Track loads in transit — showing a vehicle's location to authorized dispatchers while a load is active.
Location is associated with the driver's phone number and the specific load being carried. We use the phone number only to link location to the correct driver and load; we do not collect the driver's name or other personal profile information as part of location tracking. We do not sell location data or use it for advertising. A driver can disable location access at any time in device settings, though doing so will prevent IFTA mileage, geofence timestamps, and load tracking from working.
2. How We Use Information
- To provide, maintain, and operate the Service and its features.
- To create and secure accounts and authenticate users.
- To process subscriptions and payments through Stripe.
- To help you manage driver compliance records and documents.
- To send SMS operational notifications to drivers who have opted in (see Section 9).
- To respond to support requests and communicate with you about your account.
- To monitor, troubleshoot, and improve performance and reliability.
- To detect, prevent, and address fraud, abuse, or security issues.
- To comply with legal obligations.
3. How We Share Information
We do not sell your personal information. We share it only as needed to run the Service:
- Service providers who operate on our behalf, such as Stripe (payments), Twilio (SMS delivery), and our cloud hosting and database providers. They may access information only to perform services for us and are bound to protect it.
- Within your organization: information you enter is available to authorized users of your company's account, including drivers who log in to the driver portal.
- Legal and safety reasons: when required by law, regulation, or legal process, or to protect the rights, property, or safety of HaulFlow, our users, or others.
- Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this Policy.
4. Your Business Data Belongs to You
The information you enter into HaulFlow — including your customers, rates, loads, and other business records — belongs to you, not to us. We do not access, view, use, or disclose your business data for our own purposes.
We access the contents of your account only when you ask us to — for example, when you request support or report a problem and grant us access so we can investigate. Outside of those situations, and except where strictly necessary to operate, secure, or back up the Service, or where required by law, your business information remains private to your organization. We will never sell it, and we will never share it with other customers or third parties for marketing.
5. Data Retention
We keep information for as long as your account is active or as needed to provide the Service, and afterward as required to meet legal, tax, accounting, or compliance obligations or to resolve disputes. You may request deletion as described below.
6. Security
We use reasonable technical and organizational measures to protect information, including encrypted connections and protected credentials. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
7. Your Choices and Rights
- Access and update: you can view and edit much of your information directly in the Service.
- Deletion: you may request that we delete your account and associated personal information, subject to legal retention requirements.
- Communications: you can opt out of non-essential emails using the unsubscribe link or by contacting us.
- SMS messages: you can opt out of SMS notifications at any time by replying STOP to any message (see Section 9).
- Device permissions: you can manage location and notification permissions in your device settings.
Depending on where you live, you may have additional rights under applicable privacy laws. Contact us to exercise any of these rights.
8. Children's Privacy
The Service is intended for businesses and users who are at least 18 years old. It is not directed to children, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
9. SMS Messaging
HaulFlow sends operational SMS text messages to commercial truck drivers on behalf of freight carriers who use the Service. These messages include load assignments, pickup and delivery confirmations, account credentials, and other dispatch-related notifications.
HaulFlow uses SMS to send operational dispatch notifications to drivers. Drivers must explicitly opt in to receive these messages. SMS consent is never a condition of service.
How we collect consent
Drivers provide express consent to receive SMS messages by replying YES to an opt-in text message. This opt-in message is sent when the carrier creates the driver's HaulFlow portal login credentials, after the carrier has entered the driver's phone number into the Service. HaulFlow does not send driver login credentials, load assignments, or other operational notifications until the driver affirmatively replies YES. Consent is not required as a condition of employment or use of the Service. Message and data rates may apply. Drivers may reply STOP at any time to unsubscribe.
Opt-in records, including the timestamp and phone number used to reply YES, are stored in HaulFlow's driver database.
Message frequency and costs
Message frequency varies based on dispatch activity. Standard message and data rates charged by your mobile carrier may apply.
How to opt out
You may opt out of SMS messages at any time by replying STOP to any message. You will receive a single confirmation message and no further messages will be sent. To re-subscribe, reply START.

Your phone number
Phone numbers collected for SMS messaging are used solely to deliver operational notifications. We do not share phone numbers with third parties for marketing purposes. Phone numbers are transmitted to Twilio, our SMS delivery provider, solely for the purpose of message delivery.
10. International Users
The Service is operated from the United States. If you access it from outside the U.S., your information may be processed and stored in the United States, where data protection laws may differ from those in your country.
11. Changes to This Policy
We may update this Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of the Service after changes take effect means you accept the updated Policy.
